Health in Waikato

Hamilton's health employers include Waikato Hospital and Braemar Hospital, with public hospital services and private surgery represented locally.1,2 These providers are regional context for the page. The practical examples are generic and do not imply an internal Copilot deployment at either hospital.

A fictional service office could work from an approved staff procedure and a made-up supplies workbook. We ask participants to locate the source, inspect the draft and confirm who owns the decision. Copilot offers features across Microsoft 365 applications, but licence and administrator settings affect which exercises a team can complete.6

Paid employees in health went from 24,188 in February 2020 to 28,002 in February 2025 (+15.8%).

Local context

  • University reporting describes digital anatomy teaching in Waikato health programmes.4 Its earlier AI for Health course also included ethical considerations.3 These developments make careful staff learning relevant without establishing that a productivity assistant is suitable for clinical work.3,4

Where Copilot helps health teams

  • Draft a staff procedure change note

In Word, supply a sample approved procedure and notes describing a proposed administrative change. Ask Copilot for a draft notice with separate sections for changed actions and unresolved points. Compare the wording with the procedure before circulation. The service owner should reject any invented approval, new eligibility rule or patient instruction that the supplied material does not support.6

    • Quality administration lead
    • Copilot in Word
  • Inspect a supplies exception workbook

Use a synthetic Excel table for office supplies, with inconsistent item labels and missing status values. Request a formula explanation and an exception list. Check that blank fields have not become assumed deliveries. The exercise teaches review of administrative data; it should not recommend clinical stock substitutions or turn a generated grouping into an instruction about patient care.6

    • Service office coordinator
    • Copilot in Excel
  • Capture actions from a policy review

Run a practice Teams meeting about a fictional reception policy. Ask Copilot to distinguish agreed actions from suggestions and note questions left unresolved. Participants verify the proposed owners before accepting the record. Check that the relevant meeting capability is enabled and that the exercise contains no patient discussion. A summary remains a draft until the chair reviews it.6

    • Administration meeting chair
    • Copilot in Teams
  • Build a bounded office knowledge helper

Use Copilot Studio with approved non-clinical material such as room-booking and document-routing instructions. Test questions that request medical advice and route them away from the helper. Microsoft states that Studio is not intended as a medical device or a substitute for clinical judgement. Keep the pilot's purpose explicit and test its refusal and escalation behaviour before staff access it.7

    • Health systems maker
    • Copilot Studio

Review a policy meeting output

  1. Prepare an invented office policy and an agenda that asks for a specific decision.
  2. Hold a practice discussion with the permitted Teams configuration.
  3. Inspect the summary for proposals mistakenly recorded as agreements.
  4. Have the chair approve actions and save the accepted record in the usual system.

Health in Waikato: questions

Can this fit an administration-only pilot?

Use a narrow task such as a meeting action record or staff procedure draft. Name its owner and supply the approved source. Keep patient-specific material outside the first session so the team can learn the review method on suitable examples.

Does an office licence approve health-data use?

Account access and appropriate data use are different checks. Microsoft describes licence-dependent features, while the health privacy code governs health-information handling.5,6 Ask the organisation's leads to approve the proposed process rather than relying on the account label.

What should a knowledge helper do with clinical questions?

Give it a defined escalation route and test it against off-topic requests. Studio's documentation expressly limits medical use.7 The exercise should demonstrate that an administrative assistant does not become an alternative source of clinical advice.

Can regional teams learn at their own site?

TheColab brings practical training to Waikato health and support-service workplaces. Discuss role coverage so office operations can continue during learning. Public workshop days remain an option for staff who want an initial session before a provider organises team delivery.
