Transport and logistics in Waikato

The Ruakura precinct includes freight tenants Big Chill and PBT Express, while Hamilton City Council describes a wider logistics mix of cold storage and distribution.1,2 This course uses that regional setting for generic exercises about handovers and paperwork. It makes no claim about those operators' software choices.

Imagine a sample warehouse office with an unresolved delivery query in Outlook and a status table in Excel. The exercise joins the question to the supplied evidence without letting a draft become a dispatch instruction. Microsoft's application features differ by licence and tenant configuration, so we check the actual account experience before selecting activities.5

Paid employees in transport and logistics went from 6,309 in February 2020 to 7,001 in February 2025 (+11.0%).

Local context

  • Air Liquide's Ruakura depot adds a local example of industrial supply activity.3 The regional economic strategy also prioritises freight connectivity.4 These are useful reasons to practise dependable office coordination, rather than evidence of a particular AI rollout.3,4

Where Copilot helps transport and logistics teams

  • Separate email requests from promises

Use a fabricated Outlook conversation containing a receiver's request, a carrier reply and an unresolved collection time. Ask for a summary split into confirmed statements and outstanding questions. Then draft a reply that requests the missing confirmation. The coordinator checks that Copilot has not turned a suggested slot into an agreed commitment before sending anything.5

    • Customer operations coordinator
    • Copilot in Outlook
  • Inspect an incomplete status workbook

In Excel, practise on a sample table of freight movements with inconsistent status labels. Ask Copilot to explain a grouping formula and flag rows that need inspection. Recalculate a small selection manually. Agree how blanks and cancelled jobs should be treated, then record that rule beside the table so another dispatcher can repeat the check.5

    • Dispatch reporting officer
    • Copilot in Excel
  • Review a handover discussion

Hold an approved practice meeting in Teams with a deliberately unresolved issue. Ask Copilot for actions, proposed owners and decisions. Each participant checks their own action before the supervisor accepts the notes. Keep proposals visible as proposals, especially when a conversation about a delayed load ends without an agreed customer response. Confirm meeting features are enabled beforehand.5

    • Shift supervisor
    • Copilot in Teams
  • Prototype an escalation guide

A maker can use Copilot Studio to build a draft helper over approved depot instructions. Limit the pilot to explaining where a staff member should escalate an exception. Test questions outside its scope and remove any action that could change a job. Review the knowledge sources, access and failure behaviour before considering publication to a staff channel.6

    • Power Platform maker
    • Copilot Studio

Reconcile a handover with the workbook

  1. Prepare a fictional message thread and a matching shipment table.
  2. Summarise the thread's requests and inspect the workbook's status labels.
  3. Ask the shift lead to resolve discrepancies between the two sources.
  4. Record the accepted status and approve the outgoing message in the normal process.

Transport and logistics in Waikato: questions

Is Copilot Chat enough for the entire session?

Confirm the licence and enabled applications first. Microsoft distinguishes chat experiences and access to organisational context.5 A staff member with limited access can still practise prompting on supplied material, while some application exercises need another configuration.

Can a helper approve a damaged-freight response?

Design the first helper to explain escalation steps. Studio supports agents and workflows, but that capability is not a reason to grant approval power.6 Test the response with the depot manager and keep claims decisions in the established process.

What does a useful handover output contain?

Look for a job reference, the known status, an unresolved question and a responsible person. Avoid lengthy meeting prose when a short action record will do. The supervisor should be able to compare the record with the workbook.

Will you come to a regional dispatch office?

Regional dispatch offices can host TheColab workplace training, which is available across Waikato and elsewhere in New Zealand. Pick a session format that allows coverage for the dispatch desk. People who prefer an individual introduction can attend a public workshop day.
