Health in Southland

For a generic Gore health office, an administrative meeting can lead to a procedure update, a reporting question and a staff briefing. We use that chain to practise responsible office work. Each draft stays with an identified reviewer, and the exercise uses content your organisation has approved for the selected Microsoft environment.

Microsoft documents different Copilot access and grounding according to licences and tenant settings.5 TheColab works with your Southland team and its Microsoft administrator to select the right exercises. A clinical conversation is not suitable sample material for an introductory office session simply because meeting summarisation is available.

Paid employees in health went from 4,808 in February 2020 to 5,735 in February 2025 (+19.3%).

Local context

  • Gore Health says staff use Microsoft Copilot for documents, presentations, position descriptions, communications and research.3 This is direct local evidence of administrative use, without a verified licence tier or numerical saving.3
  • Gore Hospital offers specialist clinics as well as hospital care, while Southland Hospital provides a range of services in Invercargill.1,2 Exercises can therefore cover different administrative audiences without using a real patient's history.1,2

Where Copilot helps health teams

  • Draft a policy briefing in Word

Give Word an authorised general office policy and request a briefing for new administration staff. Ask it to retain exceptions and identify the source sections. The policy owner checks responsibilities and terminology before distributing the draft. Use a clearly marked obsolete version in the exercise to show why file currency matters.5

    • Health-service administrator
    • Word document drafting
  • Review internal meeting actions

In a permitted Teams meeting about office processes, ask for decisions, assigned actions and open questions. Compare the recap with the discussion and have the chair approve it. Staff should practise correcting a proposed action that the summary presents as agreed. Exclude case discussion and sensitive patient details from this learning meeting.5

    • Administration team leader
    • Teams meeting support
  • Check aggregate reporting in Excel

Work with fictional counts for service activity and define the categories before asking for a chart. Inspect calculations and filters, then confirm the narrative matches the table. The reporting officer should test missing entries and changed definitions. A well-presented comparison can otherwise hide an input problem or suggest a cause the data cannot show.5

    • Funding and reporting officer
    • Excel analysis
  • Prepare a general Outlook response

Use an invented enquiry about accessing service information. Summarise the question and draft a reply from approved public guidance. Check contact routes and avoid personalised clinical advice. The exercise should teach staff when to send a general explanation and when to pass the question to the authorised service team.5

    • Reception or office coordinator
    • Outlook correspondence
  • Test an office-guidance agent

Build a small Copilot Studio prototype using current administrative reference material. Ask it for source-backed answers, and test requests beyond its scope. Keep the first version limited to internal knowledge retrieval. A named owner should control publication, remove stale guidance and confirm any escalation destination before staff depend on the agent.6

    • Agent maker and information owner
    • Copilot Studio

Connect an office meeting to a checked policy note

  1. Confirm the meeting contains approved administrative material only.
  2. Review proposed actions against the discussion.
  3. Draft a staff note from the current authorised policy.
  4. Get the policy owner to approve the note and its distribution.

Health in Southland: questions

Does Gore Health's use prove a saving for our service?

Its article describes tasks and tools in use.3 It does not supply an independently audited result that can be transferred to another team. Measure your own reviewed workflow before claiming a benefit.

Can we use Copilot without exposing health records?

Begin with public information, general office procedures and entirely artificial reporting data. Have the information owner approve those inputs and inspect attachments, so the exercise does not accidentally introduce identifiable patient content.

What should our Microsoft administrator verify?

Confirm the participants' entitlements, meeting settings and document access. App capabilities vary by configuration.5 Select tasks after that review and agree who can publish or modify any agent prototype.

Can TheColab train a rural health team?

We can bring the practical session to Southland providers beyond the main centres. Invite the service manager and policy reviewer, then choose a bounded administrative task suitable for the staff who will perform it.
