Government in Tasman
Tasman Council's published statistics page identifies service centres in Richmond, Motueka and Tākaka.1 Staff working across those locations need information that keeps its meaning when it moves between teams. A generic customer-service exercise can follow a public enquiry from the original email to a briefing note and a checked action list.
TheColab comes to government workplaces across Tasman. We select Microsoft tasks after the administrator confirms attendees' app access and work-data capabilities.5 Use a fictional enquiry and approved public documents for the first session. Staff compare the drafts with the source record, while managers agree the point at which an answer requires an authorised decision rather than further drafting.
Paid employees in government went from 458 in February 2020 to 500 in February 2025 (+9.2%).

Where Copilot helps government teams
Draft a brief from a public report
Microsoft documents Word assistance for drafting and summarising.5 Give Copilot a published report and a fictional manager's question. Request a short brief with source references and unresolved issues. A policy officer reads the relevant original passages and checks whether the wording changes their meaning. Keep the evidence separate from proposed options for the manager to consider.
- Policy support officer
- Copilot in Word
Review a resident-enquiry reply
Use Outlook with a sanitised email chain that contains an answered question and a pending one. Ask for a provisional reply in plain language. The service owner checks the record and removes any promise that has not been approved. Include a referral route for an issue outside the source material. The exercise should make an incomplete answer easy to detect.
- Customer services officer
- Copilot in Outlook
Preserve uncertainty in meeting actions
Rehearse a Teams discussion from an invented cross-office script. Ask for proposed actions and compare them with what participants actually agreed. A possible option should remain an option until the decision owner confirms it. Check the meeting controls before practice and use approved material. The team files the reviewed action record through its normal process.
- Service delivery coordinator
- Copilot in Teams
Check a public-feedback workbook
In Excel, inspect synthetic consultation responses with inconsistent topic labels. Ask Copilot to show grouping assumptions and excluded records. Check a sample against the underlying comments before reading the chart. Staff should preserve mixed views and explain what the table represents. An aggregate graphic must not erase uncertainty or turn a response set into an unsupported population claim.
- Public engagement reporting officer
- Copilot in Excel
Test an internal reference agent
Copilot Studio supports agents over selected knowledge sources.6 Prototype a staff reference finder using approved public service documents. Require links to the original material and a clear escalation when a question needs officer judgement. Test an obsolete document and a request outside the collection. The information owner reviews access, source maintenance and answer quality before any wider release.

- Copilot Studio
Check a cross-office enquiry pack
- Prepare a fictional resident email, a public reference document and a made-up team discussion.
- Produce a draft reply, a source-linked brief and provisional meeting actions in the relevant apps.
- Ask a service owner to identify unsupported promises and unresolved decisions across the pack.
- Store the reviewed outputs and evidence through the approved organisational records workflow.

Government in Tasman: questions
What does the administrator need to confirm?
Check the features exposed in attendees' accounts and the sources each role can reach. Confirm meeting settings and the proposed training collection. A demonstrated feature should fit your approved environment before it becomes part of an office pilot.
Can Copilot decide how to answer a request?
It can help organise supplied information and propose wording. The responsible officer decides the scope and substance of the response. Check the original record and keep any judgement that requires authority visible in the review notes.
Should an agent answer directly to the public?
Begin with a restricted staff prototype. A public service channel needs separate service, information and accessibility review. Test difficult questions internally first and verify that unanswered issues reach a person with the right responsibility.
What evidence helps assess a rollout?
Retain the test questions, checked source references and corrections needed for accurate answers. Record who owns the collection and the final decisions. This gives managers a concrete basis for deciding whether the workflow is useful enough to expand.
