Keep the exercise about reporting methods, with no live resident records and no automated inference about a person's entitlement or priority.6

Check the actions from a planning meeting
Use a fictional Teams meeting about updating a public guide. Request decisions, proposed owners and unresolved matters, then compare them with the permitted transcript. Microsoft documents the meeting content and settings that shape a recap. Prepare an Outlook follow-up after the chair confirms the actions, and retain the reviewed wording in the organisation's normal record location.6,7

Prototype internal guidance navigation
Configure a Studio agent using a bounded set of approved office procedures. Test how it answers a question about who may approve a draft, including a case where the source is silent. Copilot Studio supports knowledge-source configuration. Ask the procedure owner to inspect the answer and its reference, and test access with the intended staff audience before making the prototype available.8

No council-wide deployment was verified in the research. The public meeting record identifies an AI briefing, without naming a Copilot service.1 Set the session around the participating team's confirmed account access and the learning task its owner approves.
Can an agent answer from all internal procedures?
Start with the documents deliberately selected for the prototype. Studio lets makers configure knowledge sources.8 Inspect ownership, currency and intended audience before expanding them, then test questions that need a human decision or cannot be answered from the available guidance.
How should Teams notes enter an official record?
Review the recap against the meeting information and have the chair confirm the actions. Microsoft's guidance describes the content and settings behind Copilot meeting summaries.7 Save the accepted record using the organisation's established process and make the reviewer responsible for its accuracy.
