We show staff how to keep those outputs linked to the actual discussion and current documents. A suggestion must remain a suggestion until the authorised decision-maker accepts it.

    Use approved public reports and a cleared briefing structure. Ask Word for a draft that labels existing arrangements, options and outstanding decisions. The policy reviewer checks dates, conditions and the source supporting each statement. Keep the draft in the team's chosen review process, with a clear approver before it becomes official material.5

    Give Excel fictional service counts with documented category definitions. Ask it to find missing records and explain a comparison, then inspect the working. A service analyst should confirm that changed definitions are treated correctly before the narrative enters a briefing. The exercise should make uncertainty visible rather than conceal it beneath a tidy chart.5

    Use an invented enquiry and current approved public information in Outlook. Ask for a clear explanation and an escalation point where a decision is needed. Check the draft against the source before sending. Avoid promising an approval, service outcome or deadline that the responsible team has not confirmed.5

    Build a Copilot Studio prototype over a bounded set of approved internal guidance. Test answers that require source links, questions outside scope and documents marked as obsolete. Begin without actions against resident records. Before publication, a policy owner should accept the knowledge set and the maker should document how errors are reviewed and corrected.6

What must we resolve before selecting participants?

Confirm who can use each application and whether their document permissions are suitable. Microsoft distinguishes access by licence and configuration.5 Invite the people who write, check and approve the task selected for the pilot.

Can a knowledge agent answer public consent questions?

Start with internal guidance and source retrieval. A public-facing answer needs separate service review, clear scope and a route to an authorised officer. The introductory prototype should not determine an application's outcome.

Has Southland's council structure already changed?

The opened 2026 summit page records discussion about future arrangements.3 It does not establish completed reorganisation. Check current official decisions before placing a structural claim in a public briefing.
