Transport and logistics in Otago

Port Otago's Southern Link announcement describes a proposed consolidation of depots and Icon Logistics warehousing near Mosgiel. For transport teams, that is a useful reminder to keep location instructions and handovers current as sites change. Our workshop uses generic examples of these tasks; it does not present any named operator as a training customer.1

We begin by checking what participants can access in their Microsoft environment. Copilot functions differ by licence and tenant configuration. Prepare a training folder whose documents have known owners, then choose office tasks that can be reviewed before they affect a shipment.4

Paid employees in transport and logistics went from 4,833 in February 2020 to 4,957 in February 2025 (+2.6%).

Where Copilot helps transport and logistics teams

  • Trace a carrier email discussion

Outlook summaries and draft replies can support a customer service exercise. Use a sanitised thread with a changed delivery address and an unresolved collection request. Ask Copilot to separate confirmed arrangements from proposals. The operator then reads the original messages and checks the booking before sending a reply through the normal customer channel.4

    • Copilot in Outlook
  • Question a fleet reporting table

Excel analysis can help staff explore a prepared job table. Practise asking which rows need investigation, using fictional status codes and an agreed definition of a completed job. Recheck filters, empty cells and duplicate entries in the workbook. The analyst should explain why a pattern matters without claiming that a spreadsheet proves its cause.4

    • Fleet reporting analyst
    • Copilot in Excel
  • Review operational meeting actions

Where the account and meeting settings support it, Teams can assist with summaries and action capture. Use a staged planning discussion about a depot move. Have participants compare the draft actions with what was actually agreed. A statement such as 'check access' must not become 'access approved' when the office circulates the next briefing.4

    • Depot manager
    • Copilot in Teams
  • Test a controlled procedure agent

Copilot Studio provides tools for building agents. Prototype a helper over an approved depot FAQ and test questions that the files cannot answer. Require a source reference and an escalation path for ambiguous instructions. Keep the pilot inside the office; dispatch authority and operational safety checks stay with the people and systems designated for them.5

    • Microsoft platform owner
    • Copilot Studio

Prepare a reviewed shift briefing

  1. Choose a fictional depot issue and its approved reference file.
  2. Summarise the relevant correspondence in Outlook.
  3. Check the job table and note missing evidence in Excel.
  4. Draft a briefing with a named reviewer for each open item.
  5. Compare the briefing with the original sources before circulation.

Transport and logistics in Otago: questions

What access should we check before training?

Confirm the Copilot experience available in the apps your team will use. Microsoft describes different access levels and tenant requirements. Also test the sample files with a participant account so the exercise does not depend on administrator-only visibility.4

Can we start without a procedure agent?

Certainly. Begin with a customer email or an exception workbook that staff already understand. An agent becomes useful only after the document set, unanswered-question behaviour and ownership are clear. The introductory session can establish those foundations.

Does the workshop cover driver decisions?

The examples focus on office coordination and document review. Do not rely on generated text to decide loading limits, route safety or dangerous-goods handling. Bring an operations reviewer who can identify when an administrative draft crosses into those areas.
