Transport and logistics in Bay of Plenty
Picture a generic Tauranga transport office with a booking change buried in an email chain. The exercise asks Copilot to identify the latest confirmed instruction and draft a response for review. Staff compare the draft with the actual messages, including the amendment that changed the collection details.
TheColab brings Microsoft 365 training to Bay of Plenty workplaces and offers remote delivery for teams across depots. We check the available Copilot experience before choosing the app exercises: Microsoft says features differ with licences and tenant configuration.5 Include dispatch, customer service and the administrator who can prepare an appropriate test environment.
Paid employees in transport and logistics went from 6,170 in February 2020 to 6,600 in February 2025 (+7.0%).

Local context
- Port of Tauranga's 2025 report describes berth-capacity constraints alongside its trade activity. That provides a reason to practise updates that preserve uncertainty, without claiming that an office tool can solve a physical capacity limit.11
- Mainfreight's Tauranga Transport branch names port operations and linehaul coordination as local functions. MBIE's Rangiuru interchange report also places logistics demand near Te Puke. Use a fictional movement across these regional settings to test the handover between roles.2,32,3
Organisations are named for local context only. No relationship with them is implied.

Where Copilot helps transport and logistics teams
Resolve a booking email thread
Copilot in Outlook can summarise threads and draft replies.5 Practise on a cleared sample containing an old instruction and a later correction. Ask for the confirmed position, unanswered questions and a draft customer update. The coordinator verifies the references and removes any promise the messages do not support before sending anything.
- Customer-service officer
- Copilot in Outlook
Review a depot coordination meeting
Where meeting capture is approved and available, use Copilot in Teams to extract proposed actions. Microsoft documents meeting summaries and action items.5 Check whether an owner accepted the action or was merely suggested in discussion. Have the meeting lead resolve uncertain assignments before putting the reviewed handover into the depot's normal process.
- Depot supervisor
- Copilot in Teams
Check freight exceptions in Excel
Prepare a mock Excel table with booking references and exception categories, then ask Copilot to suggest a grouping and explain a formula. Excel analysis and formula assistance are documented capabilities.5 Validate the result against duplicate rows and empty cells. The manager decides whether the grouped issue reflects a booking problem or a data-entry problem.
- Transport administrator
- Copilot in Excel
Test a procedure-only agent
Use Copilot Studio to prototype an internal agent over a cleared depot handbook. Studio supports selected knowledge sources and tools.6 Begin with questions about where to find an approved procedure, with operational actions disabled. Test an ambiguous load-handling question and require escalation to the supervisor rather than an invented instruction.

- Copilot Studio knowledge agent
Carry a confirmed change into the handover
- Prepare a fictional booking thread with a later amendment.
- Ask Outlook Copilot to summarise the current instruction.
- Compare the answer with the amendment and verify the exception record.
- Have the dispatch owner approve the customer message.
- Store the reviewed handover through the depot's existing process.

Transport and logistics in Bay of Plenty: questions
Does every Microsoft account support these exercises?
Check the exact Copilot experience and app access with your administrator. Microsoft distinguishes chat and app capabilities across licence configurations, so preparation should confirm the tools attendees can actually open.5
Can an agent release a load automatically?
Keep that authority outside the procedure-search prototype. Studio can connect tools that take actions, so the maker should define an explicit boundary and test it before adding any operational capability.6
What is the main Excel check?
Ensure the question and formula describe the same records. Excel Copilot can help analyse the table, but staff should inspect duplicate bookings and blanks before treating a category total as a reliable operational finding.5
Can different depots attend together?
We can run the same fictional booking through each role's review stage. Agree a shared procedure and choose staff who can explain where a depot-specific exception changes the handover.
