Transport and logistics in West Coast

The first question is which office task already has a clear source and owner. A fictional Hokitika carrier might start with customer email, an exception table and a depot handover. We teach the staff handling those inputs to ask for a useful draft, inspect it and keep approval with the right person.

TheColab provides on-site training for West Coast Microsoft 365 teams. Copilot supports Word drafting, Excel analysis, Outlook email and Teams summaries, subject to licence and tenant configuration. We check your enabled experience before selecting exercises, then use invented jobs and approved office references to test the complete review path.4

Paid employees in transport and logistics went from 713 in February 2020 to 625 in February 2025 (−12.3%).

Local context

  • Aratuna Freighters has a Greymouth head office and a Hokitika rural office, with services linking Canterbury and West Coast customers. That local office-and-route structure gives a grounded setting for generic handover tasks. It does not establish the operator's software choices or a training relationship.11
  • NZTA's regional programme focuses on maintaining resilient transport connections. A workshop can therefore practise an office notice from a verified disruption brief, while leaving current conditions and route decisions to official information and operational staff.22

Organisations are named for local context only. No relationship with them is implied.

Where Copilot helps transport and logistics teams

  • Prepare a customer email

In Outlook, ask Copilot to summarise a fictional customer thread and draft a reply from the dispatch-approved status. Outlook supports email drafting and thread summaries. Check the job reference, promised action and recipient before sending; the assistant must not create a delivery time that dispatch has not confirmed.4

    • Customer-service coordinator
    • Copilot in Outlook
  • Inspect an exception workbook

Use an Excel table of invented consignments, job categories and unresolved fields. Copilot can help analyse data and suggest formulas or visuals. Ask it to explain the grouping, then reconcile the results with the original rows. The transport administrator decides which entries need follow-up after checking the calculation.4

    • Transport administrator
    • Copilot in Excel
  • Draft a depot procedure

Give Copilot in Word an approved office procedure and an outline for a new-starter guide. Word can draft and summarise documents. Compare the proposed guide with the reference, especially where it assigns responsibility or describes acceptance criteria. The depot supervisor signs off the wording before staff use it.4

    • Depot manager
    • Copilot in Word
  • Review a handover meeting

Use a permitted Teams training meeting record about a made-up scheduling issue. Ask Copilot for open questions and proposed action owners. Teams supports summaries and actions, but the chair must confirm who agreed to each job and whether an item remains unresolved before the office records the handover.4

    • Dispatch team leader
    • Copilot in Teams
  • Prototype a procedures agent

In Copilot Studio, build a staff-only prototype over approved collection instructions. Studio can use knowledge sources and tools. Begin with questions and references, with no live dispatch actions connected. Test an out-of-scope load enquiry and require the agent to refer staff to the supervisor when the source cannot answer.5

    • Operations systems lead
    • Copilot Studio

Check a customer notice inside Outlook

  1. Prepare a fictional email thread and a confirmed status from the dispatcher.
  2. Ask Copilot to identify the customer's unanswered question before drafting.
  3. Supply the approved next action and inspect the proposed response.
  4. Verify the recipient, consignment reference and every commitment with dispatch.
  5. Keep the reviewed notice and the correction notes for the team's procedure library.

Transport and logistics in West Coast: questions

What do we check about our Microsoft licences?

Confirm each attendee's enabled Copilot experience and the apps available in your tenant. Microsoft's overview distinguishes Chat, Basic and Premium experiences. The practical agenda should match those capabilities before anyone plans a wider rollout.4

Can dispatch train alongside the accounts office?

Use a shared fictional job, then give each role its own task. Dispatch validates status, the office checks correspondence and accounts inspects the workbook. This exposes where a handover needs an owner or more reliable input.

Can the Studio prototype change live jobs?

For this exercise, keep it restricted to procedure questions. Studio supports tools as well as knowledge sources, so any later operational action needs a separately designed approval, testing and access process.5

What makes the first workflow suitable?

Choose a task with a current reference document and a reviewer who can identify a wrong result. A message about missing consignment detail is easier to evaluate than a broad request to optimise the whole transport operation.
