Transport and logistics in Hawke's Bay
Picture a generic carrier office in Hastings: a customer thread has changed direction, the meeting actions sit in Teams and a job export needs explanation. Each exercise starts where that work lives. Staff learn to provide a specific file or conversation and state the question that needs answering, instead of requesting an open-ended operational summary.
Microsoft distinguishes Copilot experiences by licensing, grounding and app access. Check the actual features in your tenant before choosing a training task. Its documentation also scopes information access to the user's permissions.4 TheColab comes to Hawke's Bay offices to help supervisors and administrators practise these workflows with their own approved material.
Paid employees in transport and logistics went from 3,155 in February 2020 to 3,039 in February 2025 (−3.7%).

Local context
- Irongate's business listing includes transport operators, while Hastings Council describes connections to the port, roads and rail. That is a useful setting for communication exercises that cross company and depot boundaries.22
- Napier Port published seasonal gate changes in February 2025 with conditions for pre-advice and truck bookings. Use this as evidence of coordination needs, then obtain the current notice before practising a real customer response.11

Where Copilot helps transport and logistics teams
Unpick a carrier email chain
In Outlook, ask Copilot to summarise a sanitised carrier thread and distinguish requested changes from accepted changes. In the documented app experience, Copilot can assist with email summaries and drafting.4 Staff inspect the original messages for the latest agreement, then write a reply with the booking reference and an explicit question. A summary alone must not establish that a slot or movement has been confirmed.
- Transport customer coordinator
- Copilot in Outlook
Capture the next operational action
Use an approved Teams meeting with no sensitive driver discussion. Ask Copilot for unresolved issues and proposed owners, then compare the recap with what participants actually agreed. Teams is part of Microsoft's documented Copilot application coverage.4 The meeting chair accepts or corrects each owner and due point before the actions become the team's working list. Ambiguous statements stay open for clarification.
- Operations manager
- Copilot in Teams
Explain an export without losing the working
Prepare an Excel table of fictional jobs, service types and exception categories. Ask for a formula or comparison that answers a narrow reporting question. Microsoft documents analytical assistance in its Excel Copilot experience.4 Reconcile the result with familiar worksheet methods. Record exclusions and missing categories alongside the chart so an office reader can understand the calculation without trusting an unsupported narrative.
- Fleet reporting analyst
- Copilot in Excel
Prototype a bounded procedures agent
Build a Copilot Studio prototype over an approved dispatch procedure folder. Studio supports agent knowledge and actions.5 Begin with questions and source links, without enabling operational writes. Test a normal query, an expired document and a question the folder cannot answer. The agent should direct uncertain cases to the supervisor. Publish only after the procedure owner has reviewed its scope and access behaviour.
- Microsoft 365 administrator
- Copilot Studio
Trial a checked customer reply
- Select a non-sensitive carrier conversation and define the information a reply must confirm.
- Ask Outlook for a summary, then compare it with the final messages in the thread.
- Draft the reply using the verified facts and have the dispatcher check its operational commitments.
- Send through the established approval process and retain the accepted version in the job record.

Transport and logistics in Hawke's Bay: questions
Which accounts should attend?
Confirm each participant's enabled Outlook, Teams and Excel experience with your administrator. Copilot access varies by licence and grounding, so a web chat demonstration cannot establish which work files another attendee can use.4
Does the procedures agent need actions?
Start with retrieval from a controlled procedure set. Studio supports actions, but adding them creates another process to assess and test. A source-linked answer is a useful first exercise without changing an operational record.5
Can the office use a real incident?
Use a sanitised reconstruction when possible. The process owner must approve the data and audience before a genuine incident enters the session. Remove personal details that do not affect the learning objective.
What does a rollout session produce?
The team leaves with reviewed prompts, a permission issue list and named owners for the pilot tasks. We choose measures such as incorrect summaries and unresolved actions so staff can assess usefulness from actual work.
