Education in Otago

Dunedin's University of Otago and Otago Polytechnic publish policies that help define responsible staff AI work. University procedures require data classification before GenAI processing, and the Polytechnic addresses approved systems and assessment-specific permissions. Start with those local controls when choosing what the workshop may use.1,2,3,4

A generic Otago education office can practise with a fictional course handbook and a cleared staff update. Participants prepare drafts in their normal Microsoft apps, then review the result with the person who owns the content. The administrator first checks licence and tenant settings for the planned Copilot exercises.5

Paid employees in education went from 11,194 in February 2020 to 11,367 in February 2025 (+1.5%).

Local context

  • The University's published AI procedures include literacy induction, while Otago Polytechnic's policy asks staff to model responsible use and explain permitted AI activity for assessments. Staff training should support those expectations rather than silently alter course rules.3,43,4

Where Copilot helps education teams

  • Prepare a course resource in Word

Use Word drafting support with tutor-approved content for a fictional course. Ask Copilot to organise the supplied material into a readable practice sheet, keeping key terms intact. The subject specialist checks examples and instructions against the learning goal. Do not let a rewrite add a new requirement or make practice material appear to be graded assessment.5

    • Tutor or course leader
    • Copilot in Word
  • Check an administrative Excel table

A synthetic course table lets staff explore reporting without exposing learner records. Ask Copilot about missing categories and inconsistent labels, then inspect its suggested formulas. Compare the result with a manually checked section of the workbook. Use the exercise to discuss the limits of the data rather than infer individual learner needs from a generated summary.5

    • Programme administrator
    • Copilot in Excel
  • Review a staff meeting recap

Teams summaries can support an internal planning exercise where the feature is enabled. Stage a conversation about resource preparation using fictional details, and check whether the recap separates ideas from agreed actions. Ask each participant to verify their task. The meeting owner corrects the note before sharing it through the usual staff communication process.5

    • Department manager
    • Copilot in Teams
  • Draft a routine staff reply

In Outlook, practise summarising a fictional internal thread about an administrative process and drafting a reply from approved wording. Check which questions the thread has actually resolved. The coordinator verifies recipients and references before sending. Keep any real learner support discussion outside this initial exercise, where the purpose is to learn review habits with harmless sample content.5

    • Education support coordinator
    • Copilot in Outlook

Prepare a checked course administration update

  1. Choose an approved internal process and fictional correspondence.
  2. Identify the document owner and intended staff recipients.
  3. Draft the update from the cleared Word reference.
  4. Check unresolved questions against the original correspondence.
  5. Have the owner approve the wording before it enters the staff channel.

Education in Otago: questions

Does a Microsoft education account guarantee access?

The available Copilot functions vary with licensing and tenant configuration. Microsoft's documentation sets out those differences. Ask the institution's administrator to test the intended apps and source files before the workshop, rather than assume all participants see the same features.5

Can the examples include assessment planning?

They can include drafting from guidance already approved by the assessment owner. The Polytechnic policy calls for clear rules for each assessment. The workshop should help staff communicate those rules while leaving the underlying academic decision with the appropriate people.4

What can support staff practise?

Support roles can use fictional internal correspondence and administrative workbooks. They learn to inspect sources, verify calculations and check recipients. Those tasks build useful app skills without requiring student grades, personal records or confidential support notes.

Can you bring training to our education workplace?

TheColab can deliver on site in Otago and discuss a remote format for staff spread across locations. Public workshop days are available as another option. Include a course reviewer and Microsoft contact in preparation so the session has clear content and access boundaries.
