Retail in Taranaki

A fictional Taranaki wholesaler needs to brief account staff on a changed supplier range. The workbook shows discontinued items, while an email explains replacements and a product sheet describes their limitations. Training connects those sources into a reviewed briefing rather than treating the generated summary as the complete commercial position.

TheColab works with shop and wholesale teams at their Taranaki premises. Before the exercises, confirm which Copilot features the organisation has enabled. Microsoft describes different app experiences and work-data access, so we choose tasks that fit staff accounts and the records the business approves for use.4

Paid employees in retail went from 6,347 in February 2020 to 6,238 in February 2025 (−1.7%).

Local context

  • Big Jims' plant-hire offer includes selection, delivery and collection. Mitchell Cycles provides another specialist retail example in New Plymouth, with different product questions for staff to understand.1,2
  • Stratford Business Association publishes local business listings and an AI introduction. It is evidence of a regional learning offer, although the page does not confirm the listing's year or business adoption outcomes.3

Where Copilot helps retail teams

  • Review the buying workbook

Use Copilot in Excel to explore a sample stock workbook by supplier and product group. Ask for missing codes, unclear units and a proposed chart of the records under review. Check formulas and compare selected entries with the original export. The buyer adds context about returns, unavailable stock and supplier changes before deciding whether to adjust an order.4

    • Retail buyer
    • Copilot in Excel
  • Draft a precise supplier clarification

Ask Outlook Copilot to summarise a permitted thread about a replacement product or revised delivery arrangement. Draft a reply that separates confirmed points from questions still open. Staff read the relevant original messages and attachments to check what was promised. The account owner approves any order change, and the office keeps the supplier's final confirmation with its purchasing records.4

    • Wholesale account coordinator
    • Copilot in Outlook
  • Prepare product notes for the counter

Give Word Copilot an approved product sheet and a short staff briefing format. Ask it to explain the product's intended use and identify claims unsupported by the sheet. In a fictional plant-hire business, keep purchase advice separate from hire arrangements. The product lead checks terminology and service details before counter staff receive the reviewed note.2,4

    • Store manager
    • Copilot in Word
  • Capture a range-review discussion

An enabled Teams session can practise summarising a mock buying meeting. Ask Copilot to list items requiring supplier clarification separately from decisions the owner has confirmed. Have participants compare the draft with the meeting record and correct ambiguous product names. The chair approves the follow-up list before staff update catalogue content or place an order.6

  • Prototype an internal range assistant

With Copilot Studio, a systems owner can create a pilot agent that directs staff to permitted product documents. Use fictional catalogue entries first and test requests with unclear product identifiers. Instruct the agent to route unsupported questions to the buyer. Inspect access and source versions before internal sharing; keep live order placement outside the pilot's responsibilities.5

Brief staff on a supplier range change

  1. Select a fictional stock export, an approved product sheet and a supplier message that explain a single range change.
  2. Inspect the spreadsheet in Excel and use Outlook to identify the supplier's current confirmed position.
  3. Draft the counter briefing in Word with product limitations, unanswered questions and the evidence the buyer should inspect.
  4. Let the buyer approve the final note, then retain the source documents beside the issued staff briefing.

Retail in Taranaki: questions

Can the session focus on wholesale accounts?

Use a fictional supplier change and a sample account briefing. The exercise can cover workbook checks, correspondence and product limitations. A person familiar with supplier terms should attend so the team can review the commercial meaning of the draft.

Will every shop employee have the same Copilot tools?

Check each role's enabled app experience and work-data access. Microsoft links capability differences to licences and configuration. We can select a shared starting task and add specialist exercises for people with the relevant access.4

Should a range agent answer customers directly?

The initial Studio example is for internal document finding and review. Test uncertain questions and missing product records with the buyer. A customer-facing implementation needs its own design, access decision and response-review process before launch.5

What helps the team keep using the method?

Assign an owner to the example prompt and its reference files. Review the draft again when a supplier changes a range or service condition. Keep a record of the corrections that counter staff and buyers make during normal use.
