Tourism and hospitality in Taranaki

A fictional coastal venue has a group enquiry, an approved service sheet and notes from an event-planning discussion. The duty manager needs a reliable staff brief and a guest reply that reflects confirmed arrangements. Training follows that task through Microsoft apps, with staff checking every promise before it leaves the venue.

TheColab brings practical training to Taranaki visitor businesses. We work with synthetic booking records and permitted property documents, and check app access before choosing exercises. Microsoft's Copilot features vary by licence and organisational configuration, so your session should use the capabilities your staff can actually open.5

Paid employees in tourism and hospitality went from 4,693 in February 2020 to 4,668 in February 2025 (−0.5%).

Where Copilot helps tourism and hospitality teams

  • Draft a guest email in Outlook

Use Copilot in Outlook to organise an invented group enquiry into questions reception must answer. Draft a reply from approved property details and leave availability or special arrangements for staff to confirm. Read the entire enquiry before accepting the summary, especially attachments and earlier messages. The reservations lead reviews the proposed commitments and sends the response through the business's usual process.5

    • Reservations lead
    • Copilot in Outlook
  • Inspect an operational workbook in Excel

Ask Excel Copilot to explore a fictional booking export by stay type or enquiry outcome. Define cancelled and duplicate entries, then request a chart with its data selection explained. Verify formulas and inspect the source rows behind a selected result. The manager adds context about rooms or venue capacity before using the observations in an operational discussion.5

    • Accommodation operations manager
    • Copilot in Excel
  • Write a service briefing in Word

Give Word Copilot an approved event outline and the venue's briefing format. Ask it to separate confirmed arrangements, staff responsibilities and questions for the kitchen or duty manager. In a fictional coastal venue exercise, challenge any invented menu or dietary assurance. The relevant service leads check the completed note before it becomes the team's working briefing.5

    • Hospitality service supervisor
    • Copilot in Word
  • Check decisions from a Teams meeting

Use an enabled mock Teams meeting to discuss a group booking across reception, service and event roles. Ask Copilot for decisions separately from proposals and unresolved issues. Compare the draft with the available meeting record and obtain participants' corrections. The chair confirms the final action list so a tentative idea does not turn into a promise to the guest.7

  • Explore a property-information agent

A workspace owner can use Copilot Studio to prototype an internal agent with a restricted set of approved property documents. Test a routine facility question and a request involving an unknown accessibility detail. The agent should direct unresolved matters to reception or the manager. Review source versions and access before sharing, and leave booking changes outside the initial design.6

Prepare a guest promise the venue can deliver

  1. Write a fictional group enquiry and collect the current service sheet and approved property information.
  2. Draft the proposed reply in Outlook and list the questions that reception, the kitchen or the manager must settle.
  3. Confirm arrangements with the responsible staff and prepare a reviewed briefing in Word for the service team.
  4. Check the guest reply against that briefing before sending it, then retain the confirmed arrangements in the booking record.

Tourism and hospitality in Taranaki: questions

Can front-office staff begin with email tasks?

Use a fictional enquiry and an approved property sheet so staff can check the response confidently. Outlook Copilot supports drafting and thread summaries. Confirm that the relevant capability is enabled in the attendee's account before choosing the exercise.5

Does this require real guest records?

Synthetic bookings are enough to practise grouping outcomes and checking a chart. Build the sample around your reporting question and keep its categories clear. The manager should explain what operational details are absent before the team interprets the findings.

How should we use the meeting summary?

Treat the Teams output as a proposed record for the meeting chair to inspect. Check the available transcript or notes and ask participants to confirm decisions. Keep a separate list of unanswered matters before turning the summary into an event briefing.7

Can the property agent run reservations?

The suggested Studio pilot locates approved information for staff. It has no authority to change a booking or promise a service exception. A wider workflow needs a defined process, explicit access and testing with the people responsible for reservations.6
