Farming and horticulture in West Coast

For a generic Greymouth farm office using Microsoft 365, the starting point is often an Excel table or an Outlook thread. Microsoft documents analysis, drafting and meeting-summary features across its apps. Access and work-data grounding differ with the licence and configuration.4 Training begins by testing your actual accounts and selecting a task they can support.

We bring TheColab's training to West Coast businesses, including rural teams that combine field work with office duties. Include the person who owns the files as well as the person who prepares the reports. They need a common rule for identifying current information before Copilot helps draft anything from it.

Paid employees in farming and horticulture went from 1,235 in February 2020 to 1,085 in February 2025 (−12.1%).

Where Copilot helps farming and horticulture teams

  • Prepare a purchasing review in Excel

Work with an approved table of feed or growing-supply purchases. Ask Copilot to suggest a summary by category and explain the formula behind a variance. Keep units explicit and inspect credit notes. The office lead reconciles the result to the original rows before it enters a management report.

    • Farm office manager
    • Copilot in Excel
  • Untangle a processor email thread

Use Outlook to draft a summary of a supplier conversation. Request separate lists for confirmed arrangements, questions and documents still needed. Compare each item with the messages it came from. A generic farm administrator can then draft a focused reply, leaving disputed details for the manager to settle.

    • Supplier liaison administrator
    • Copilot in Outlook
  • Write a contractor briefing in Word

Choose the current access instructions and approved job scope as inputs. Draft a briefing that preserves named responsibilities and highlights absent information. Have the relevant supervisor compare the text with the originals. A neat document should never hide a missing map, unclear reporting contact or unresolved instruction.

    • Rural operations coordinator
    • Copilot in Word
  • Prototype a procedure agent

Copilot Studio supports agents over selected knowledge and tools.5 Build a limited helper for office procedures, such as finding the approved invoice checklist. Test it with old file names and incomplete requests. Keep publishing under an administrator's control and provide a route to a person when the answer lacks support.

    • Microsoft 365 administrator
    • Copilot Studio

Use a reviewed report in a farm meeting

  1. Identify the approved purchasing workbook and confirm that the office team can access the correct version.
  2. Create a draft Excel summary and compare its totals with the source table before the meeting.
  3. Where Teams meeting features are enabled, request a draft action list and check it with the participants.
  4. Place the reviewed report and agreed actions in the normal farm records with clear owners.

Farming and horticulture in West Coast: questions

Do our current accounts support the exercises?

We check the available app functions before agreeing the tasks. Microsoft's current guidance distinguishes access levels and settings, so the account name alone is not enough.4

Can we use a supplier workbook with messy headings?

Prepare a clean table first. Define each field, remove merged headings and retain an unchanged copy so the reviewer can trace the calculations.

Is a farm procedure agent an early requirement?

Usually start with a document or spreadsheet task. An agent becomes useful when the source procedures have owners and someone can test and maintain its answers.

What about farms with limited digital confidence?

Use a familiar office task and practise it together. DairyNZ's national AI report identifies capability and connectivity barriers that should shape the learning approach.3

Can a supervisor join only the review exercise?

That can make the session useful for a mixed team. The supervisor can check whether the draft preserves field instructions while office staff practise the app steps.
