Tourism and hospitality in Wellington

A venue's information moves through spreadsheets, meetings and messages before staff explain it to a guest. TheColab runs practical training at your workplace to test that path. We identify the reference behind the draft and the person responsible for approving it, then use demonstration records to explore what happens when important details are missing.

The region includes Miramar visitor experiences at Wētā Workshop and hotel conference facilities at Copthorne Solway Park in Masterton.2,3 Those are public examples of different operations, not accounts of our training work. A fictional venue exercise can combine office coordination with reception questions without exposing a real booking or guest history.

Paid employees in tourism and hospitality went from 26,231 in February 2020 to 25,496 in February 2025 (−2.8%).

Local context

  • The supplied regional aggregation records 19,167 employees in Accommodation and Food Services in 2025.1 It omits other visitor-related industries. Business Kāpiti's AI-search guide asks operators to keep business and booking details consistent across channels, while WellingtonNZ reports event-led visitor activity.4,5 Reliable internal briefings can help staff maintain that consistency.1,4,5

Where Copilot helps tourism and hospitality teams

  • Explore a venue reporting workbook

Ask Copilot in Excel to inspect a demonstration table of bookings, cancellations and service categories. Microsoft's app guidance includes spreadsheet analysis capabilities.7 Check how the workbook defines each status before accepting a comparison. A manager should reconcile the source records and retain staffing or capacity decisions, especially when the table omits operational constraints.

    • Venue operations analyst
    • Excel
  • Draft a reviewed guest response

Use Outlook to prepare a reply from an approved service guide and the original enquiry. Inbox assistance depends on the capabilities assigned to the work account.7 Have reception confirm arrival arrangements and flag any special request requiring another staff member. Remove unsupported offers before the response reaches a guest.

    • Reservations coordinator
    • Outlook
  • Turn a functions brief into staff material

Prepare a Word handover and a PowerPoint briefing from reviewed event instructions. Copilot supports document and presentation work in Microsoft applications.7 Give the functions lead a check for responsibilities, open questions and dependencies. Test whether the reception and catering teams interpret the same arrangement before approving the material for staff use.

    • Functions manager
    • Word and PowerPoint
  • Confirm actions in an operations meeting

Use Teams during an approved venue discussion to identify tasks that still need an owner or confirmation. Meeting assistance can work live; transcription affects access afterwards.8 Resolve ambiguous responsibilities with participants and record the reviewed actions in the venue's normal system, rather than relying on an unapproved recap for the next shift.

    • Duty management meeting chair
    • Teams
  • Prototype an internal visitor-information agent

Build a Copilot Studio agent against registered SharePoint service guides. The integration respects user access to the knowledge source.9 Test unknown accessibility details, outdated opening information and questions outside the venue's offer. Require staff escalation when the approved material cannot support a response, and keep the prototype away from live booking actions.

    • Guest information owner and Microsoft lead
    • Copilot Studio

Check a functions handover before the shift

  1. Select a fictional organiser brief and mark its confirmed arrangements and open decisions.
  2. Ask Word to draft responsibilities for reception, catering and the functions coordinator.
  3. Let each role inspect its section and return missing details to the event owner.
  4. Release the corrected briefing through the staff channel and retain the approved source brief.

Tourism and hospitality in Wellington: questions

Which staff should attend a venue session?

Include someone who maintains the office records and someone who explains the service to guests. Their shared review can expose details that a reporting-only exercise would overlook.

Can we use Copilot without meeting transcripts?

Microsoft documents live meeting assistance without transcription. Access to the conversation after the meeting has separate transcription conditions.8 Decide how reviewed actions will be retained before choosing the exercise.

Should reception trust every agent answer?

Test the prototype against missing and conflicting references. Staff need a visible escalation contact and must confirm any detail affecting a guest's safety, access or booking arrangement.

What material can a café bring?

Use approved public descriptions, a blank event brief or a fictional operating table. Keep supplier secrets, guest identifiers and private staff details outside the practice set unless their use is cleared.

Can a Kāpiti or Wairarapa operator arrange delivery?

We come to workplaces across those areas and the wider Wellington region. Public workshop days also give individual staff a way to learn the basic Microsoft application workflow.
